What type of rental properties do you manage? 

A. We manage villas and homes designed to appeal to an upscale international vacation rental market. Additionally, we provide management services to Homeowner Associations that wish to outsource the management of their common areas.

In what geographic areas do you provide management services?

A. We work in the Central Pacific region of the Costa Rica in the vicinity of Dominical/Dominicalito

What will you do to rent my house?

A. We advertise you home, individually on the major vacation rental websites to get you maximum exposure. We also advertise at a premium rate to gain preferential positioning of your villa on the various websites. There are 165 villas in the Dominical area, we ensure you are shown at the top of the list! Additionally we have invested in state of the art technology that allows us, upon receipt of an inquiry, to instantly price it, verify availability and create a beautiful customized graphic response which is almost instantly sent back to the potential client. It has been proven that the faster you respond, the higher your percentage of closed sales- we don’t lose a minute!

How do you make sure the guests are taking good care of my home while renting? 

A. Our in-house housekeeping staff is on site every day. In addition to a great amenity to help secure rental customers, it allows us to monitor guest treatment of your home. Our housekeeping supervisor has been with us for years.

What do you do if they are not taking care of my property as they should? 

A. The property manager personally handles these situations. Any blatant abuse by guests will result in guests being removed from the villa. We have designed our rental contracts such that the credit card used for payment is also the guarantee in the case of damage or abuse. We block funds upon check-in and release them upon check-out after inspection. If necessary we will involve the authorities in extreme situations.

Q. How informed will I be about what happens with my property? 

A. Each owner receives a monthly statement by the 10th of each month. This statement will reflect all new sales and collection of rents due on existing sales, along with all expenses, all precisely detailed for the owners understanding. Any urgent issues or significant unexpected maintenance events are immediately communicated to the owner by the Property Manager. Our Property Manager is also reachable directly on our toll free number.

How do you handle maintenance requests? 

A. We design our agreement with owners with as much or as little involvement as they are comfortable with. We do establish an amount below which no authorization is required to perform required maintenance. The amount can be set at the owner’s comfort level over the course of our relationship so as to provide the owner the level of involvement they desire. You will see this repair detailed on your monthly statement. If we think a repair might exceed this amount, we will call you and let you know what is happening, what we think should be done, and what the estimated cost might be. For large maintenance items the owner will be asked to wire funds in advance if they have insufficient funds in their owner’s account.

How do you find the right people to perform repairs and maintenance on my villa? 

We combine our in-house capabilities with outside vendors with whom we have maintained a long standing relationship. Over the years we have identified the companies providing the best value to our owners. What this means is that through first-hand experience we know whose work meets the quality standards we demand and which companies stand behind their work. We have the right companies at the right price that do work that we cannot do ourselves due to either the technical requirements of the job or due to urgency of the work and the demands on our staff. Wherever possible we strive to perform work in-house which insures the owner the same standard of quality we offer in everything we do.

Do you hold some of my money for repairs? How much? 

A. No, unless otherwise directed by you, we deposit any surplus funds each month into the account you have directed us to use.

My home has a pool or spa, how do you handle that?

A. We have trained staff, competent in the maintenance of spas and pools. This is crucial since this is one of the most desirable amenities and one which rental customers expect to be in tip-top shape. We insure that. A pool or spa with poor water quality or a repair issue can result in renter dissatisfaction and a negative review on-line. We strive to insure this never happens in one of our villas!

You guys seem sort of picky about the properties you take, why is that?

A. We have been successfully managing property for 9 years. We want to insure the owner’s success as well as ours. Since we represent many owners, it would do any 1 owner a disservice if we had properties in our portfolio that did not have a consistent standard of luxury and upkeep. Rental customer reviews are the leading guide that people use to make rental decisions. A poor review due to unmet expectations or poor upkeep on 1 home can reflect on us and our ability to successfully secure rentals across our entire inventory of villas.

How do you handle the accounting of all the sales and repairs of my villa and how often do I receive a report?

A. All sales, and related commissions and other expenses are reported in detail on the owner’s statement along with all expenses, clearly described and detailed.  We close out each month and send statements by the 10th of the month. Surplus funds are wired to your local bank of choice in Costa Rica and payments of amounts owed to us are expected within 5 days of receipt of your statement. We also accept credit cards for payments of any balance owed to us.

Does your property management agreement give you exclusive right to rent my property?

No, we do not require an exclusive right to rent your villa.

How are security deposits handled from guests? 

A. We work just like any other hotel or car rental firm. When you check-in we ‘block’ an amount ($500) to be held in case there is damage to the villa. In the guest’s contract, they give us the right to use their credit card for any damages to the villa. Upon check-out, we inspect the villa with the guest and if there is no damage, we release the ‘block’. Since we inspect the villa daily through our housekeeping service, we would become aware of any major damage within 24 hours. Major damage must be paid for immediately or the authorities are contacted.
